LaunchBay 2025 Product Recap and What’s Coming Next

2025 was a pivotal year for LaunchBay.
Over the past year, we shipped dozens of high-impact improvements, but more importantly, we aligned them around a single objective: helping B2B teams replace fragmented onboarding tools with one automated, scalable system built for visibility, consistency, and growth.
From AI-powered workflow creation to deeper automation, stronger collaboration, and operator-grade reporting, every release was designed to help teams onboard more clients without adding complexity or headcount.
Below is a recap of the most impactful product updates we shipped in 2025, followed by a look at where we’re headed next.
AI Tools to Build Repeatable Onboarding Playbooks, Faster
One of the biggest breakthroughs this year was introducing AI directly into how onboarding systems are built and improved.
Instead of manually translating processes into tasks, stages, and forms, teams can now turn existing workflows into fully operational onboarding playbooks in minutes. These tools reduce setup time, improve consistency, and help teams launch faster with confidence.

Highlights from 2025 include:
- AI Task and Stage Builder: Teams can describe their onboarding workflow in plain language and LaunchBay automatically generates the required tasks, organizes them into stages, and attaches the appropriate forms.
- AI Form Builder: Skip manual form setup by telling LaunchBay what information you need to collect. Our AI creates structured, client-ready forms that are accurate and immediately usable.
- AI Clients: Simulated clients move through onboarding playbooks to surface bottlenecks, automation gaps, and optimization opportunities before workflows go live.
Together, these tools help teams move from idea to execution faster, while continuously improving onboarding performance over time.
Features to Scale Client Capacity without Adding Headcount
As teams grow, client communication often becomes the hidden bottleneck. In 2025, we shipped major collaboration improvements to centralize client interactions and reduce coordination overhead across email, Slack, and disconnected tools.

These updates help teams support more clients without increasing internal workload.
Key improvements include:
- Message Center Enhancements: All client messages, comments, approvals, and discussions now live in one inbox. Teams can assign messages, create tasks directly from conversations, and collaborate internally without exposing behind-the-scenes communication to clients.
- Client Requests: Clients can submit requests for additional work or support directly through the LaunchBay portal. Each request automatically creates and assigns a follow-up task to the right team member.
- AI Meeting Notes: Meeting notes can be added directly to projects and summarized using AI. Integrations with tools like Fathom, Otter, and Fireflies automatically sync notes to the correct LaunchBay project.
The result is clearer communication, fewer dropped handoffs, and a more professional client experience at scale.
New Task and Automation Options for Seamless, Scalable Onboarding
To keep onboarding fully in flow, we expanded automation across contracts, billing, and project configuration. These updates remove manual transitions between systems and ensure execution stays aligned from the moment a deal is signed.

New capabilities introduced in 2025 include:
- Invoicing: Automatically move from contract signed to payment in progress without leaving LaunchBay. Teams can track invoice status and payments directly within the platform.
- Contracts: Speed up contract execution with custom signing order and auto-populated fields that reuse information clients have already provided, reducing friction and duplicate data entry.
- Stage Imports: Dynamically import stages into a project based on client responses or selected services during onboarding, ensuring each project is accurately scoped without manual setup.
These improvements help teams do more within a single, automated onboarding flow rather than stitching together multiple tools.
Reporting Built to Act Early, Not Late
In 2025, we also introduced new reporting tools designed for operators managing high-growth teams. Instead of relying on reactive status checks, teams now have earlier visibility into progress, risk, and performance across all client work.

New reporting features include:
- Project Progress Reporting: View all projects created from the same template in a spreadsheet-style matrix showing task status across every project. This makes it easier to identify patterns and bottlenecks by project type.
- Project Health Scores: Each project now displays a health score based on task completion, engagement, and activity, helping teams quickly identify at-risk work.
- Productivity Reporting: Track completed tasks, automation runs, emails replaced, and estimated time and cost savings to clearly quantify LaunchBay’s operational impact.
These insights give leaders the ability to intervene earlier and continuously improve delivery performance.
